How to Find Equipment Dealer Reps for Broker Referrals
Free ways to find equipment dealer sales reps and finance managers, plus phone and email scripts and a follow-up plan for new brokers.
The fastest way for a new equipment finance broker to find steady deals is to partner with the people who already talk to equipment buyers every day: dealer sales reps and finance managers. This guide shows where to find them for free, what to say, and how to follow up. New to the business? Start with our equipment finance broker guide.
Why dealer reps are your best lead source
Every dealer loses sales when a buyer can't get financing, or when their in-house program declines a newer business or a used machine. A broker who can place those deals with the right lender helps the rep close more sales. You are a referral source, not a lender: the lender approves and funds the deal.
Where to find dealer reps (free sources)
- Dealer websites: look for "Our Team," "Staff," "Sales" or "Contact" pages. Many list territory managers by county with direct phone numbers.
- Manufacturer dealer locators: Caterpillar, John Deere, Kubota, Bobcat, Case and Kenworth all publish locators listing every authorized dealer near you.
- Equipment marketplaces: MachineryTrader, TruckPaper, EquipmentTrader and Rock & Dirt listings usually show the selling rep's name and phone.
- LinkedIn through Google: search site:linkedin.com/in "dealer name" (sales OR "territory manager") plus your city.
- Facebook: branch pages and local equipment groups often show which reps post inventory.
- Auctions and associations: local auction houses, contractor associations and trucking associations know the active dealers and reps.
- Just call the branch: ask "Who handles financing, and who's your rep for used equipment?"
Once you have a name, common email formats are first.last@dealer.com or flast@dealer.com. Verify with a free checker before sending.
Who to ask for first

Outreach scripts
Phone script
"Hi, this is [Name] with [Company]. I'm a local equipment finance broker. When a buyer gets declined, or needs financing on a used or private-sale machine, I place those deals with lenders that fit them. Do you ever have buyers you can't get financed? I'd like to be a backup option so you don't lose the sale."
Email script
Subject: Backup financing for buyers you can't get approved
"Hi [First name], I work with equipment buyers in [City] who need financing outside a dealer's in-house program: newer businesses, used equipment, and larger deals. I match each deal with one best-fit lender and keep you updated so you know when your sale is closing. Could I drop off a one-page sheet this week? [Your name, company, phone]"
Drop-in visit
Bring a one-page flyer and business cards. Ask for the finance manager, keep it under five minutes, and ask one question: "What kind of deals are you losing right now?"
Follow-up steps
- Day 1: call or visit, then send the email the same day.
- Day 3: short follow-up: "Any buyers on your desk this week I can help with?"
- Day 7: share something useful, like a quick note on which deal types your lenders take.
- Day 14: second visit or call.
- Monthly: check in. Most rep partnerships start after several touches, not the first one.
- When a referral comes in: respond within the hour and update the rep at each step. Fast, clear updates earn the next referral.
Track every rep, call and follow-up date in a CRM so nobody slips through the cracks.
