The Equipment Finance Application Process, Step by Step

2026-10-26

How an equipment finance deal moves from first call to funding: credit application, documents, lender match, approval and funding.

Knowing the equipment finance application process lets you set clear expectations with borrowers and send lenders complete files. Here is how a typical deal moves from first call to funding. For the bigger picture, see our equipment finance broker guide.

1. Discovery call

Learn what the borrower needs: the equipment, new or used, dealer or private sale, price, time in business, rough credit picture and when they want it.

2. Equipment quote or invoice

Get a written quote from the dealer, or a bill of sale and description (year, make, model, serial or VIN, hours or miles) for a private sale.

3. Credit application

The borrower completes and signs a credit application that authorizes the lender to pull credit. Typical details include:

  • Business legal name, address, EIN and time in business
  • Owner name, address, ownership percentage and authorization for a credit check
  • Equipment details and amount requested

4. Supporting documents

What lenders ask for depends on the deal size and the lender. Smaller deals are often reviewed on the application alone. Larger deals commonly need:

  • Recent business bank statements (often three to six months)
  • Business tax returns or financial statements
  • Debt schedule for larger requests
  • Driver's license and voided check

5. Lender match and submission

Submit the file to the one lender that best fits the deal size, credit profile, equipment type and time in business. Sending the same deal to many lenders at once can create several credit pulls and hurt your relationships.

6. Approval and terms

The lender reviews and returns an approval, a counteroffer (for example, a down payment or shorter term), or a decline. Each lender sets its own timeline. Review the terms with the borrower clearly.

7. Documents and signing

The lender issues the finance or lease documents. The borrower signs, and the lender may verify insurance and confirm the equipment with the seller.

8. Funding

The lender pays the dealer or private seller, the borrower takes delivery and payments begin. The lender pays the broker under its own agreement.

Tips that keep deals moving

  • Collect the full document list up front instead of piecemeal.
  • Give the borrower a status update at every step.
  • Double-check names, EINs and serial numbers before submitting.
